An exciting opportunity has arisen within our Senegal country office for an Administrative Officer to provide support and office services for the team, as well as developing and implementing systems to ensure efficient and timely delivery of roles and responsibilities.
The post is responsible for the day-to-day administration for the office, to manage institutional relation with governments and others partners and suppliers. This includes the preparation and monitoring of the investment program and “ACCORD de siege” and maintaining partnership with tax offices, forward agencies, Ministry of interior, NGO network, etc.
Maintain adequate and orderly records of local and overseas purchases obtain exemption letters from required government ministries and make sure goods are delivered to the beneficiaries on time. To oversee office premises and the general maintenance of office equipment and therefore ensuring everything is in good working order. Maintaining an effective filling system, smooth operation of the IT systems design, good institutional correspondences and providing supervision of the Administrative Assistant are also important duties of this role.
Other responsibilities include programme support by organising programme and country office meetings, travel and seminars, as well as assisting the development of new project documents, and managing general office stock keeping and vehicle management.
The ideal candidate will have a degree, tertiary qualification in Administration/Management or equivalent professional qualification with experience in an administrative role within an INGO and good institutional relationship. Great organisation and prioritising skills are also important for this role, as is the ability to multitask, have good IT knowledge and be able to conduct high quality written and spoken communication both in French and English.
